About the position

Responsibilities

  • Accurately receive and process incoming work orders from various sources
  • Collaborate with the Billing Department to ensure timely and accurate invoicing of completed work orders
  • Generate purchase orders for materials, parts, or equipment necessary for service tasks
  • Maintain and update customer service portals in line with workflow requirements
  • Ensure all work order, purchase order, and invoice documentation is accurately maintained and organized
  • Communicate regularly with relevant stakeholders to clarify work order details and provide updates
  • Maintain compliance with all company and regulatory billing, invoicing, and record-keeping procedures
  • Investigate and resolve any billing discrepancies or disputes in collaboration with relevant parties
  • Provide necessary administrative support related to service billing operations
  • Identify opportunities for process improvements within the service billing function.

Requirements

  • Proficient in computerized billing systems
  • Familiarity with accounting functions and principles
  • Capable of answering inbound calls professionally and efficiently
  • Strong knowledge in billing functions and procedures
  • Proficient in Microsoft Excel for data management and analysis
  • Experience with handling purchase orders
  • Excellent data entry skills with a high attention to detail
  • Strong administrative skills for managing and organizing work
  • Ability to work in a fast-paced manufacturing environment
  • Strong communication and interpersonal skills to interact with team members and clients
  • Ability to maintain confidentiality and handle sensitive information appropriately
  • High school diploma or equivalent, higher education is a plus.
